Renewal Process
STEP 1 - Maintenance Inspection
Three to four months before the lease renewal, one of our Maintenance Techs will conduct a Preventive Maintenance Inspection. They keep an eye out for unrepaired tenant damage, excessive wear & tear, or lease violations, although it's rare that our tenants have issues.
STEP 2 - Owner Approval
We inform the property owner that we will soon deliver a lease renewal. We automatically send your lease renewal offer with Annual Lease & Month-To-Month options, unless the owner objects. The property owner's decisions are final, which includes the renewal rent amount. We will not contact them to negotiate.
STEP 3 - Renewal Processing
If a lease renewal is offered:
Annual Leases:
Lease delivery: 3 months before lease expiration. You'll get an email from appfolio and you'll find the lease in AppFolio in the tan header at the top of the dashboard.
Deadline to sign: 2 months of lease expiration date.
Reminder: We email reminders, so you don't forget to sign.
Move-Out: If you do not plan to renew, submit a Move-Out Notice before the deadline.
Unsigned Lease Renewal Fee: To motivate tenants to process their end of the paperwork, we charge a $100 Unsigned Lease Renewal Fee, if one or more residents fail to sign the renewal or submit a Move-Out Notice by the deadline. This fee is billed each month until the lease is signed or the tenant vacates.
Month-to-Month Leases:
Lease Delivery: Same as annual
Deadline: 2 months from the date the renewal is published.
Reminders: Same as annual
Unsigned Renewal Fee applies: Same as annual
STEP 4: Renewal Billing
If rent did not increase, you will notice no difference in billing. Auto-pay will not be affected.
If there was a rent increase:
If the lease renews on any date other than the 1st of the month, the system will prorate the difference between this month and last month and bill a separate charge for the "Prorated difference at renewal".
If you have auto-pay setup, you will need to update the auto-pay. We have no control and AppFolio will not automatically change your settings.

How do I sign a renewal lease?
Click to sign in appfolio
Each tenant must sign into appfolio and click each & every space that indicates initials are required. Then click to sign at the very end.
I have questions about my balance
Read your Account Ledger in Appfolio, if you have questions about your balance or what a charge is for.
How do I sign my renewal if I can't log into Appfolio?
Not being able to log in to Appfolio is not an acceptable excuse to avoid the Unsigned Lease Renewal Fee.

Request a PDF copy. We'll attach it to the Shared Documents tab. You print, sign, scan & attach.
Can I do Month-to-Month (MTM)?
Some Landlords no not offer Month-to-Month leases (MTM). If MTM is available for your property, you'll see that option in Appfolio. If it's not there, it's not an option for your property. The owner's decision is final. Sorry.
Why is there a $100 Month-to-Month (MTM) Fee?
We charge a $100 MTM Fee to discourage tenants from choosing this option.
I just signed my renewal, can you remove the $100 Unsigned Renewal Fee?
This fee is non-refundable once billed to your account but once you sign, it will not charge next month.
Can I stay for another month or two if there isn't a MTM option?
No. You have two options:
1. Move at the end of your lease
2. Renew the lease & do a Mid-Lease Move-Out.
